Operations Manager

 


Summary

The position is in charge of providing support to the procurement process in a timely and efficient manner to ensure optimum stock levels are maintained. This position also provides support in ensuring that all operational logistics are working effectively and efficiently. It will also require managing the warehousing team as a whole and ensuring all works relating to the operations of the business are in order.

Responsibilities

Responsible for end-to-end Imports process and handling:

  1. Apply for all relevant documents needed in the process of importing goods
  2. Prepare clearing documents to forward to the clearing agent
  3. Check all acknowledgements from clearing agents to ensure that the correct duty rates have been applied and also visit customs for any queries
  4. Follow up with inspection agents for certificate of conformity
  5. Follow up with clearing agent on status of shipments
  6. Maintain and update a shipment tracking file
  7. Inform the warehouse manager of goods expected
  8. Prepare the goods received & goods expected reports
  9. Update the importation tracking sheet
  10. Ensure data entry of goods received in the accounting software for costing purposes

Office Support Services

  1. Receive requests for all procurement as per company’s requirements
  2. Apply for all statutory licences relating to all branches and head office
  3. Ensure all relevant insurances are in place as per the requirement
  4. Ensure all training and statutory requirements are adhere to

Managing of warehouse team, stock handling and company vehicles

  1. Direct reports: Stores manager and office receptionist
  2. Complete responsibility of stock management including monthly stock counts and reporting on any variances as per the template
  3. Continuous monitoring of warehouse space requirements to ensure storage of goods and adequate arrangement of goods in the warehouse
  4. Ensuring all company vehicles are in good operating condition and managed well by the warehouse manager.
  5. Ensure all permits and licensing is on place and kept up to date

Education and Qualifications

  1. At least 2 years working experience in a busy Administration/Operations office
  2. Working knowledge of SAP and Ivend will be advantageous
  3. Bi-lingual – English, Swahili and Hindi / Gujrati language if possible and MUST be a Tanzanian national
  4. Has worked in importation department, procurement and experience in managing warehouse

Requirements

  1. Good knowledge in supply management
  2. Working knowledge of clearing and forwarding processes
  3. Excellent organizational skills and people management skills
  4. Ability to use appropriate assertiveness in all communications
  5. Advanced level Microsoft Office ability, word, and excel
  6. High level communication skills, including in-person, written, and telephone communications
